Privacy Policy

Social Circles, LLC ("Social Circles," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect your information when you visit High5 Circles (the website, mobile site, emails, APIs, and related services—the "Service").

If you do not agree with the practices described here, please do not use the Service.

1. Scope

This Policy applies to information collected:

  • Directly from you (forms, uploads, support chats).
  • Automatically when you browse or interact with the Service.
  • From third parties that integrate with us (e.g., payment processors).

It does not cover information collected by independent coffee venues or by third-party sites you may reach via links.

2. Information We Collect

Account Data: Name, email, password hash, profile photo, bio, interests, referral code.

Purpose: Account creation, sign-in, profile display.

Identity-Verification Data: Government ID image, selfie video, facial biometrics, date of birth, address (via Stripe Identity).

Purpose: Safety checks, fraud prevention, regulatory compliance.

Transaction & Subscription Data: Stripe customer ID, plan type, billing status, payment history.

Purpose: Process payments, manage free-trial promotions, detect failed payments.

Circle Participation Data: Reservations, seat status, venue chosen, date/time attended.

Purpose: Matchmaking, reminder emails, analytics.

Device & Usage Data: IP address, browser type, referring pages, clicks, session duration, cookies and similar identifiers.

Purpose: Site performance, security, analytics (Mixpanel), conversion tracking (Meta Pixel, Google Tag Manager).

Communications: Email content, support tickets, survey responses.

Purpose: Customer support, service improvements, marketing (Mailgun, Mailchimp).

Sensitive Data

We do not intentionally collect government ID numbers beyond what is required for identity verification, nor do we collect health or credit-report data.

How Stripe & Social Circles handle your ID data

When you complete an identity check, Social Circles and Stripe each act as independent data controllers for the verification data.

Stripe will process its copy in line with its Privacy Policy and typically retains ID information for up to 3 years (biometric templates ≤ 1 year).

If you wish to delete your data:

  1. Email support@high5circles.com (we will delete our copy), and
  2. Contact privacy@stripe.com to delete Stripe's copy.

Need a non-biometric option?

If you are unable or unwilling to complete the online ID check, email us before booking and we'll arrange a manual document inspection at the café or cancel your reservation at no cost.

3. How We Use Your Information

  • Provide & operate the Service (create accounts, schedule Circles, process payments).
  • Verify identity and promote in-person safety.
  • Send transactional emails (confirmations, reminders, security alerts).
  • Improve and personalize the Service (feature development, UX research, targeted content).
  • Analyze site traffic and marketing performance.
  • Enforce our Terms & Conditions, prevent fraud, comply with law, and protect rights.
  • Market our services—only with appropriate opt-in or as permitted by law.

Legal Bases (EEA/UK users)

Contract: We need the data to provide the Service you requested (create an account, book a Circle, take payment).

Consent: Email marketing, cookies that are not strictly necessary. You can withdraw consent any time.

Legitimate Interests: Site security, analytics, improving products—balanced against your privacy rights.

Legal Obligation: Tax records, anti-money-laundering rules, responses to lawful requests.

4. How We Share Information

We never sell or rent your personal information. We do share it with:

Stripe, Inc.: Payment processing & identity verification.

Supabase, Inc. / Render: Managed database, hosting, serverless edge functions.

Mailgun Technologies, Inc.: Transactional email delivery.

Mailchimp (Intuit): Marketing campaigns & welcome journeys.

Meta Platforms, Inc.: Conversion tracking & custom audiences (via Meta Pixel).

Mixpanel, Inc.: Product analytics & funnel metrics.

Make .com (Celonis): Workflow automation (e.g., trigger welcome emails).

Law enforcement / regulators: When required by subpoena, court order, or similar legal process.

Successor entity: In connection with a merger, acquisition, or asset sale (with notice and choice where required).

All third-party service providers are bound by contractual obligations to keep data confidential and to use it only for the specified purpose.

5. Cookies & Similar Technologies

We use:

  • Essential cookies – keep you logged in, remember session state.
  • Analytics cookies – Mixpanel, Google Tag Manager.
  • Advertising pixels – Meta Pixel to measure ad conversions and build look-alike audiences.

You can manage cookies through your browser settings or industry opt-out tools (e.g., AboutAds.info). Disabling cookies may limit functionality.

6. Data Retention

Account data – kept while your account is active and for up to 2 years after deletion for audit, fraud prevention, and tax purposes (unless a longer period is required).

Payment records – retained 7 years under IRS guidelines.

Identity-verification images – automatically deleted by Stripe within 30 days of verification (see Stripe Identity retention policy).

Marketing opt-out records – retained indefinitely to honor suppression lists.

7. Security

We use industry-standard safeguards:

  • TLS in transit; encryption at rest for sensitive fields.
  • Role-based access controls; 2FA for admin accounts.
  • Regular third-party penetration tests and dependency patching.

No system is 100% secure; you share information at your own risk. Notify us immediately of any suspected breach.

8. Your Rights & Choices

8.1 For All Users

Access / Update: Log in to view or edit profile information.

Delete Account: Email support@high5circles.com or use in-app deletion (coming soon). Some data (e.g., billing records) may be retained as required by law.

Marketing Opt-Out: Click "unsubscribe" in any marketing email or adjust settings in your profile.

8.2 Additional Rights for EEA, UK & Swiss Residents

Subject to verification, you may:

  • Request portability of your data (structured, machine-readable copy).
  • Request erasure, restriction, or rectification.
  • Object to processing based on legitimate interests.
  • Lodge a complaint with your local data-protection authority.

8.3 California Privacy Rights (CCPA/CPRA)

We do not sell or share personal information for cross-context behavioral advertising as those terms are defined under California law. See Sections 2–4 for categories collected, sources, and purposes. California residents may submit a rights request via email.

9. Children's Privacy

The Service is not directed to children under 18. We do not knowingly collect personal data from anyone under 18. If you believe we have collected such data, contact us and we will delete it.

10. International Transfers

We are based in the United States. By using the Service, you understand your information will be transferred to, stored, and processed in the U.S. and possibly other countries with different data-protection standards than your jurisdiction. Where required, we rely on Standard Contractual Clauses or other approved safeguards for cross-border transfers.

11. Changes to This Policy

We may update this Policy periodically. We will post the revised version and change the "Last updated" date. Material changes will be announced via email or in-app notice. Continued use of the Service after the effective date constitutes acceptance.
